We are looking for:

  • For a Records & Digital Archives Manager to help us preserve our extensive and rich heritage while  advancing it into the future
  • You’ll take the lead in managing our records retention and digital preservation initiatives across a complex and global environment while ensuring accessibility, maintaining full compliance with industry regulations, and securing long-term preservation of our extensive collection of current and historical records for business purposes. 


We count on you for:

  • Oversee information management across multiple international locations, ensuring accurate classification and adherence to global laws, regulations, and international archival standards.
  • Collaborate effectively with internal stakeholders and external partners to ensure compliance with our records management and digital preservation policies.
  • Manage the entire lifecycle of records, ensuring proper classification, storage, and disposal.
  • Work closely with IT security teams to implement automated data retention solutions.
  • Oversee the management of Syensqo’s digital preservation system.
  • Coordinate off-site Records Center activities, including records disposition and disposal.
  • Evaluate and identify essential records at off-site storage facilities to optimize rented space and reduce storage costs.
  • Participate in the evaluation, selection, and analysis of vendors for outsourced services; negotiate and oversee service contracts.
  • Prepare and maintain monthly reports necessary for budget preparation and control.

You will bring:

  • Project Management and Leadership
    • Strong organizational skills to manage multiple governance initiatives
    • Ability to train and inform, and educate employees on information policies
    • Experience in change management for implementing governance policies
  • Communication and Stakeholder Management
    • Collaborate closely with a variety of stakeholders such as the business units,  IT, legal, Procurement, Communication  and HR
    • Clear documentation and reporting skills
    • Negotiation skills for working with vendors and  third parties
  • Regulatory &  Compliance Knowledge
    • Understanding of data protection laws and IA Act and their impact on records management
    • Compliance with industry regulations such as Knowledge of e-discovery and litigation readiness
  • Records Management & Archival Science
    • Expertise and experience in data classification and records lifecycle management, from creation to disposition.
    • Knowledge of international records management standards
    • Ability to develop and implement records retention and digital preservation policies aligned with regulatory and business requirements.
    • Experience in physical and electronic records classification, metadata management, and taxonomy development.
  • Digital Compliant Archiving and Preservation
    • Knowledge of ISO 14721 (OAIS – Open Archival Information System) for long-term digital preservation.
    • Expertise in regulatory requirements for compliant digital archiving
    • Familiarity with digital archiving solutions (e.g., Documentum, OpenText, Preservica, Implementation of audit trails, access controls, and digital rights management (e.g. DRM) for archival security.
    • Understanding of electronic signatures and trust services in compliance with tools such as eIDAS.
    • Expertise in preservation strategies, including migration, emulation, normalization, and encapsulation.
    • Knowledge of metadata standards for long-term preservation, such as Dublin Core, METS, PREMIS.
    • Experience in file format sustainability.
