Microsoft Viva Product Owner

Key Responsibilities
1) Expert Authority & Strategic Guidance
• Act as the organizational authority for the Microsoft Viva suite from a product, experience, and value perspective
• Provide strategic guidance on high-impact, cross-functional Viva decisions (scope, positioning, prioritization, experience design)
• Support critical escalations only where business impact, product direction, or governance decisions are required
• Define how and when L3 and platform teams engage the SME for Viva-related topics
• Represent Viva at senior levels as a strategic Employee Experience (EX) product, not just a technical tool
2) Governance, Operating Model & Guardrails
• Define and own the governance framework for Viva (ownership, decision rights, content lifecycle, quality standards, roles & responsibilities)
• Establish policies and guardrails for usage, publishing, campaigns, and integrations across Viva modules (Connections, Engage, Learning, Amplify, Insights, etc.)
• Design and maintain the operating model across IT, HR, Comms, and Business for content, adoption, and platform changes
• Ensure alignment with security, compliance, data privacy, and corporate communications standards
• Define success metrics, review cadences, and decision forums for governing the Viva platform
3) Driving Adoption, Usage & Business Value
• Own the product vision and roadmap for Viva from an employee experience and business value perspective
• Partner with HR, Internal Communications, L&D, and Business leaders to embed Viva into daily employee workflows
• Design and lead adoption strategies, campaigns, and use-case–driven rollouts for Viva capabilities
• Define, track, and act on adoption and value KPIs (reach, engagement, usage patterns, business outcomes)
• Continuously identify and develop new scenarios where Viva can improve communication, learning, engagement, and alignment
4) Problem Themes, Insights & Continuous Improvement
• Identify systemic adoption, content, or experience gaps and address them at a product and operating model level
• Use analytics, user feedback, and business input to drive continuous improvements to the Viva experience
• Sponsor and prioritize improvements across content models, integrations (Teams, SharePoint, M365), and user journeys
• Guide L3 and platform teams on improvements that increase value, simplicity, and consistency of the Viva experience
• Ensure Viva evolves as a coherent EX platform rather than a collection of disconnected features
5) Stakeholder, Change & Ecosystem Leadership
• Act as the senior cross-functional lead for Viva across IT, HR, Communications, and Business stakeholders
• Build executive sponsorship and business ownership for Viva as a strategic employee experience platform
• Lead and nurture communities of practice (content owners, champions, product owners, communicators)
• Represent Viva in M365, Digital Workplace, and Employee Experience governance forums
• Engage Microsoft and partners to align roadmap, preview new capabilities, and shape strategic use of the Viva suite

Must-Have Skills & Experience
• Strong experience with Microsoft 365 Viva modules (e.g., Viva Connections, Engage, Learning, Amplify, Insights, Goals as applicable) from a product, adoption, or business use perspective
• Proven experience in digital workplace, employee experience, internal communications, or collaboration platforms
• Demonstrated ability to define governance models, operating models, and platform guardrails across IT and business stakeholders
• Experience driving adoption, change, and usage growth for enterprise platforms (campaigns, champions networks, communications, training)
• Strong stakeholder management skills across IT, HR, Communications, L&D, and Business
• Ability to translate business needs and EX goals into platform roadmap, use cases, and prioritized initiatives
• Experience defining and tracking adoption and value KPIs (e.g., reach, engagement, active usage, business outcomes)
• Good understanding of M365 ecosystem (Teams, SharePoint, Entra ID, security/compliance basics) to ensure Viva fits enterprise guardrails
• Experience working in enterprise or large-scale organizations with complex governance and multiple stakeholders
• Strong communication skills — able to influence, present, and align senior stakeholders around product vision and value
- Experience in copilot features embedded in Viva

• Experience in HR tech, Internal Communications platforms, Intranets, or Learning Experience Platforms
• Hands-on experience configuring or operating parts of Viva, SharePoint, or Teams
• Experience with change management frameworks (e.g., ADKAR, Prosci, or similar)
• Experience building or running champion / community programs
• Familiarity with analytics and engagement measurement tools (including Viva Insights or M365 adoption reports)
• Experience working with Microsoft, system integrators, or digital workplace partners
• Experience shaping content strategies, editorial calendars, or campaign-based communications
• Microsoft certifications in M365, Viva, or Digital Workplace areas
• Experience in product owner, platform owner, or product manager–like roles
