We are looking for a highly skilled Executive Assistant to be responsible to provide high-level administrative support to Syensqo Senior Leaders and ELT members, ensuring efficient and effective operations. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks simultaneously. The position will report to the Executive Assistant of the Head of GBS but on a day-to-day basis be in contact with relevant Communication and Procurement teams, including regular meetings with the Chief Procurement Officer.
Responsibilities:
- Administrative Support: Manage and maintain executive schedules, including appointments, meetings, and travel arrangements;
- Document Management: Prepare, review, and edit reports, presentations, and other documents. Ensure all materials are accurate and professionally presented;
- Confidentiality: Handle sensitive information with the utmost confidentiality and discretion;
- Communication: support with internal, organizational announcements and communications;
- Event Planning: Coordinate and manage company events, conferences, and executive off-sites, as well as, organizing large, complex and/or recurring team, function and external meetings (mostly online);
- Expense Management: Process and track expense reports and invoices;
- Create Purchase Orders (PO) in Syensqo’s source-to-pay process;
- Ensure Goods Receipt and follow up on payments;
- Trouble shoot and solve invoicing & payment issues;
- Support T&E related topics of the Chief Procurement Officer, and LT members based in Brussels (the latter more limited) including but not limited to flight booking, visas, accommodations, expense submission, transportation, etc.;
- Agenda management for the Chief Procurement Officer, including day-to-day admin activities.
Essential Skills:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred;
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar role;
- Fluent in English (both written & spoken), intermediate in French (both written & spoken);
- Exceptional organizational and time-management skills;
- Strong written and verbal communication abilities;
- Ability to work independently and as part of a team;
- High level of professionalism and discretion;
- Strong problem-solving skills and attention to detail;
- Capability to manage multiple priorities and meet deadlines;
- Ability to adapt to different cultural environments and leadership styles.
